4. Importing Outline into PowerPoint, Using Excel as a Data source for Mail Merge, Freeze, AutoFilter and Split.

Today we started with a Word document that asks us to place 15 paragraphs of 20 sentences.

If we type as above and press Enter on the keyboard, we will have 15 paragrapgh of 20 sentences of "The quick . . etc".  Delete the first three lines, type  The Fox v The Dog and change to Heading 1 as per screen shot over there.  This is done by clicking on the style button which is to the left of the Font box. A completed copy of this file is here.  Be sure to close the Word file or the next steps won't work.!!

Now close Word, open PowerPoint and click on the outline tab at the top left of the screen.

Now go to Insert > Slide from Outline > and then choose the file we have been working on.  PowerPoint will import the headings from the document and create slides from the Heading 1s

Mail Merge
We created a mail merge by typing a few entries into the file known as DataSource.xls which is in your folder created by the download file.
Then we worked through the process of creating a form letter.  Now Mail Merge is a long process and there are plenty of notes about it online.
Large Spreadsheets If you open up AutoF.xls you will see a large worksheet.  It is a adapted copy of the one I used to mark all the first assignments.

We looked at using the freeze function (Click in cell F5, go to Window on the Menu Bar and choose Freeze Panes). Scroll about the worksheet to see the benefit of the Freeze Panes.

We removed the Frozen Panes by Window > Unfreeze Panes.  Now try Data > Filter > AutoFilter

A whole heap of drop down arrows turn up and we can filter our results by clicking on the one for Survey Topic and say choose Supermarket.  We should have only 28 entries showing and the arrow has turned blue. If we click on the Group arrow we can choose a group number and it will be filtered by that group. So we have two filters working. To undo the filter click on the now blue arrow and choose all (may have to scroll to the top)

Split
Similar to above but choose Split rather than freeze.  Gives you 4 panes to look at. Also known as "fat rolls" because . . .??
